1. Collection of Your Information
We collect information needed to operate school management, communication, attendance, and security features.
A. Personal Data
- Identity data such as name, date of birth, gender, school identifiers, and employee identifiers.
- Contact data such as email address, phone number, and address.
- Academic and employment data such as attendance, grades, schedules, designations, and related records.
B. Device and Usage Data
- Device model, operating system version, app diagnostics, and identifiers needed for compatibility and security.
- Server logs, IP address, access times, and activity logs for security, troubleshooting, and audit purposes.
C. Camera and Storage Permissions
- Attendance workflows including QR and biometric attendance registration or scanning.
- Profile management for capturing and uploading profile photographs or documents.
- Homework and assignments for capturing images of educational material.
- Reports and resources for downloading or uploading school files and records.
D. Biometric and Face Data
- Face template or face embedding generated from a registered face.
- Optional face reference image captured during supported mobile registration.
- Related metadata such as user ID, class, section, designation, school ID, timestamp, and registering account.
- Biometric data is collected only with explicit consent or authorization from the school and, where required, the parent or guardian.
We do not collect face data for advertising, marketing, or cross-service tracking.
2. Use of Your Information
- Operate school administration features such as student records, staff records, attendance, fees, examinations, library, and academic workflows.
- Provide notices, messages, alerts, reminders, and related school communication.
- Maintain security, identity verification, audit logs, and account protection.
- Support diagnostics, maintenance, service operation, and troubleshooting.
Use of Face Data
- Create and save biometric templates for enrolled students or staff.
- Compare live scans against registered templates for attendance matching.
- Create attendance records after a successful biometric match.
- Support re-registration, troubleshooting, and biometric maintenance requested by the school.
Face data is used solely for attendance and related biometric support workflows. We do not use face data for advertising, unrelated profiling, sale to data brokers, or sharing with third parties for independent use.
3. Disclosure and Sharing of Your Information
- Authorized school administrators, teachers, and staff may access relevant records needed to run school workflows.
- We use third-party services such as Google Firebase (including Firestore and Storage) for data storage and app functionality. These services process data on our behalf, under our instructions, and do not use it for their own independent purposes.
- Information may be disclosed when required by law, legal process, or a valid governmental request.
We do not sell personal data to any third parties.
Face data is not shared with unrelated third parties for independent marketing or commercial use. Face data may be stored and processed through service providers solely for biometric attendance and related support functions.
4. Storage and Retention of Face Data
Where Face Data Is Stored
- Google Firebase Firestore stores the face template and related metadata.
- Google Firebase Storage may store an optional reference face image.
How Long Face Data Is Retained
- Biometric data is retained while the user remains enrolled or employed and biometric attendance remains enabled.
- Data may be deleted earlier if requested by the school, parent, staff member, or authorized account holder, subject to applicable law.
- When no longer needed, biometric data will be deleted or de-identified within a reasonable period, ordinarily within 30 days of an approved deletion request or confirmed account departure, unless a longer retention period is required by law.
- Attendance records created from biometric matching may remain as part of the school’s normal attendance records even after the face template is deleted.
5. Data Security
We use administrative, technical, and physical safeguards designed to protect personal data, including biometric data. Data stored through Google Firebase is protected using encryption in transit and platform protections at rest. No method of transmission or storage is completely secure.
6. Children and School Use
The app is intended for use by schools, students, parents, and staff. If face data is collected for a student, it is collected as part of the school’s biometric attendance workflow and subject to the school’s responsibility to obtain any required consent or authorization.
If we learn that personal data was collected improperly, we will work with the school to delete it as appropriate.
7. Access, Correction, and Deletion
Schools control most school records in the app. To review, correct, or request deletion of account data or biometric face data, please contact your school administration first. You may also contact us directly at gauravkg1987@gmail.com.
Users, parents, or schools may request deletion of their data by contacting us at gauravkg1987@gmail.com. Upon request, data will be deleted within a reasonable timeframe, subject to verification from the relevant school or authorized administrator.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. Continued use of the app after changes constitutes acceptance of the updated policy.
